Account Owner Information: Name, corporate email address, phone number, organization name, job title, and billing details provided during account registration. Respondent & Feedback Data: Information submitted during survey participation, including CSAT/NPS ratings, text comments, contact details (e.g., phone number or email if explicitly provided for follow-up), and audio transcripts from Voice AI interactions. Technical & Usage Metadata: IP addresses, device identifiers, browser types, kiosk hardware telemetry, location data (where enabled), timestamp records, and interaction duration.
3. How We Use Information
We process personal data strictly to deliver, optimize, and secure our experience management Services: Provisioning multi-tenant feedback dashboards and analytics. Triggering automated SLA escalation notifications and closed-loop ticketing workflows. Executing automated survey outreach via SMS, WhatsApp, email, and conversational Voice AI. Conducting AI-driven sentiment analysis, key phrase extraction, and dialect processing. Ensuring platform stability, security monitoring, and fraud prevention.
4. Data Ownership & Tenant Isolation
Enterprise Data Ownership: All feedback data, customer records, and survey responses collected by our Enterprise Clients remain the exclusive property of the respective Account Owner. Multi-Tenant Architecture: Our platform utilizes strict logical database separation to isolate data between enterprise accounts. No tenant can view, access, or query another tenant's raw customer data.
5. Data Sovereignty & Regional Hosting
For government, healthcare, and enterprise clients bound by strict regional data residency requirements: We offer dedicated in-country cloud hosting options (including local data centers within operating jurisdictions). Personal data collected under designated local hosting agreements does not cross international borders without explicit client authorization and regulatory compliance.
6. Data Sharing & Sub-Processors
We do not sell personal data. We only share information with trusted third-party sub-processors required to operate our platform, subject to strict data processing agreements (DPAs): Cloud Infrastructure Providers (Hosting and database processing) Telecommunications & Messaging Gateways (SMS, WhatsApp API, and Voice carrier infrastructure) Analytics & AI Engine Services (Natural language processing and sentiment analysis)
7. Data Retention & Deletion
Account Owner Data: Retained as long as your account remains active or as needed to provide Services and comply with legal obligations. Respondent Data: Retained in accordance with the retention settings configured by the Enterprise Client (Account Owner). Account Owners may export or purge survey records at any time via the admin dashboard.
8. Security Measures
We implement enterprise-grade technical and organizational security controls, including: End-to-end encryption for data in transit (TLS 1.3) and at rest (AES-256). Role-Based Access Control (RBAC) and multi-factor authentication (MFA). Regular vulnerability scans, penetration testing, and continuous security monitoring.
9. User Rights & Data Subject Requests
Depending on your jurisdiction, end-users and Account Owners may have rights to access, correct, delete, or restrict the processing of their personal data. Respondents wishing to exercise these rights regarding feedback submitted to a specific business client should contact that business directly, as we process such data on their behalf.
